Introduction
The Black Water Group ran its company email on webmail hosted on a shared server. The mailboxes shared a fixed storage quota, so when they filled up, incoming mail bounced back to the people sending it.
We recommended moving every mailbox to Zoho Mail, a dedicated business email platform, while keeping all of the group's existing addresses.
Ten mailboxes moved to a dedicated email platform, with the same addresses and nothing new for staff to learn.
Each person now has an independent mailbox with far more room, plus webmail, mobile apps and support for Outlook and Apple Mail. We set up the domain's mail authentication (SPF, DKIM and DMARC) so messages are trusted by receiving servers and harder to spoof.
“Infrastructure shouldn't depend on one person remembering how it was set up.”
We finished with an operations handbook covering how the email and DNS are configured and how to diagnose bounced mail, so any competent administrator can look after it.
Conclusion
Small infrastructure problems cost real business when they block email. A planned migration fixed the cause, not just the symptom.
If your team is fighting full mailboxes or bounced mail, we can help.
