Privacy policy

Last updated 24 October 2026.

Cyber-Data Automations Ltd respects your privacy. This policy explains what personal data we collect through this website, why, how long we keep it and the rights you have under the Nigeria Data Protection Act 2023.

It covers this website and the messages you send us through it. Work we do for clients under a contract is covered by that contract and the client's own privacy notice.

Who we are

Cyber-Data Automations Ltd (RC 9361211) is a private company registered in Nigeria under the Companies and Allied Matters Act 2020. Our office is at 15, AG Road, Army Barracks Road, Yola, Adamawa State, Nigeria. For the personal data described here, we are the data controller.

Questions about privacy go to info@cyberdataautomations.org.

What we collect

Information you give us

  • Contact form: your name, email address, phone number (optional), the topic you choose, which description fits you, and your message.
  • Newsletter: your email address.
  • Job applications: your name, email, phone number (optional), the role, your CV and any note you add, whether you apply on our Careers page or by email.
  • Emails and calls: whatever you share when you contact us directly.

Please don't send passwords, bank details or other sensitive information through the form. If a project needs that kind of access, we'll agree a secure way to share it.

Information collected automatically

Like most websites, our hosting provider keeps short-term technical logs when pages load: your IP address, browser type, the page requested and the time. We use these only to keep the site secure and working. We don't use analytics or advertising trackers.

Our staff sign in to a private part of this website to read messages and applications. That sign-in uses one essential cookie, which is only set for staff.

How we use it and why

We use your personal data only where the NDPA gives us a lawful basis:

  • To reply to your enquiry and prepare a proposal: steps you've asked us to take before a contract, and our legitimate interest in answering messages.
  • To send our newsletter: your consent, which you can withdraw at any time using the unsubscribe link or by emailing us.
  • To consider your job application: steps you've asked us to take, and our legitimate interest in hiring.
  • To keep the website and our systems secure: our legitimate interest in preventing fraud and abuse.
  • To meet legal and tax duties: legal obligation.

We don't sell your data, and we don't use it for automated decisions that affect you.

AI assistance

We use an AI service, Claude by Anthropic, to help our team handle messages sent through the contact form. It sorts each message by type and urgency, summarises it and drafts a reply, which a member of our team reads, edits and decides whether to send. Nothing is sent to you automatically, and the AI doesn't make decisions about you.

If you apply for a job, the same service summarises your CV and note against the role: the skills and experience it shows, what we should ask you about, and interview questions. It is told to ignore personal details such as your age, gender, religion, ethnicity or state of origin. It doesn't accept or reject anyone; our team reads every application and makes every decision.

The AI service receives only what you sent through the form (and your CV, if you applied for a job), and processes it to give us its answer. Under its commercial terms, the provider doesn't use our data to train its models. If you'd rather your message or application wasn't processed this way, email us directly at info@cyberdataautomations.org instead of using the form.

Who we share it with

We share personal data only with service providers who help us run the website and our business, and only as much as they need. They process it on our instructions. Today that means:

  • our website hosting provider, whose server stores form messages, sign-ups and CVs;
  • our email provider, which holds emails you send us and our replies;
  • our AI service provider (Anthropic, in the United States), which processes contact-form messages and job applications to help us sort, answer and review them;
  • any notification or mailing service we connect to the forms, such as a newsletter tool.

We may also share data with professional advisers (such as lawyers and accountants) under a duty of confidentiality, or with authorities when the law requires it.

Transfers outside Nigeria

Some providers store data on servers outside Nigeria. When that happens, we rely on the safeguards the NDPA allows, such as the destination's level of protection or contract terms that require the provider to protect your data to the same standard.

How long we keep it

  • Enquiries that don't become projects: up to 2 years after our last contact.
  • Client correspondence: for as long as the contract and our legal record-keeping duties require.
  • CVs: up to 12 months, so we can contact you about future roles. Ask us to delete yours sooner at any time.
  • Newsletter: until you unsubscribe.
  • Hosting logs: a short period set by the hosting provider, usually days to weeks.

How we protect it

Security is our trade, and we apply it to our own systems: encrypted connections (HTTPS), access limited to the people who need it, strong authentication and regular updates. If a breach puts your rights at risk, we will notify the Nigeria Data Protection Commission and, where required, tell you without delay.

Records locked in a secure cabinet behind a shield, next to a data protection checklist
We collect only what we need, limit who can see it and keep it locked down.

“We collect only what we need to answer you, do the work and keep our systems safe. Nothing else.”

Your rights

Under the NDPA you can ask us to:

  • tell you what personal data we hold about you and give you a copy;
  • correct data that's wrong or incomplete;
  • delete your data, or restrict how we use it;
  • stop using it, including for the newsletter;
  • send it to you or another organisation in a common, machine-readable format;
  • withdraw consent you've given, without affecting what we did before.

Email info@cyberdataautomations.org to make a request. We may ask you to confirm your identity first, and we'll respond as quickly as we can within the time the law allows.

If you're unhappy with how we've handled your data, please tell us so we can put it right. You can also complain to the Nigeria Data Protection Commission.

Cookies

This website doesn't set cookies for visitors, for analytics or for advertising, and doesn't track you across other sites. The only cookie is an essential sign-in cookie for our own staff. If we add tools that use cookies, we'll update this section first and ask for your consent where the law requires it.
